Microsoft PowerPoint has a tool that allows creators of PowerPoint presentations to put their presentations and supporting files on a CD for easy use and distribution. The presentation is called a package because its additional files and PowerPoint Viewer are added to the CD to make viewing the presentation easier. For example, instead having to rely on a user to start the presentation, the creator can set the presentation to run automatically when the user inserts the CD into the CD drive.
To copy PowerPoint Presentation to a CD:
Insert a writeable CD into the PC’s CD writer. If you are not sure if your computer has a CD writer, contact the IT Help Desk at extension 3103 or send an e-mail help.desk@ctcd.edu.
Open the PowerPoint Presentation.
Open the File menu in the menu bar.
Click “Package for CD” to open the dialog box (see figure 1).
Enter a name for the CD in the “Name the CD” textbox.
To include additional files, click “Add Files”. Additional files are those included in the package by default, e.g. sound files.
- Click Options to open the Options dialog window to modify the package’s default settings (see figure 2).

- Check the PowerPoint View checkbox to select how the presentation will be open (see figure 3). Select how you want the user to view the package from the list on the drop-down menu.

Check the Linked files checkbox to include all files such as videos and pictures that are linked to the package.
Check the Embedded TrueType Fonts checkbox to include TrueType fonts in the presentation.
Enter a password in the Password To Open Each File text box to protect each file in the package from changes.
- Enter a password in the Password To Modify Each File to prevent users from modifying any of the files in the package.
Click OK.
- To w the presentation to the CD, click the Copy To CD button (see figure 4). When the procedure is complete, the CD will eject from the CD drive and the Copying Files to CD window will close. Click Yes to copy the package to another CD or click No to end the process.
