Preliminary Graduation Review

A preliminary graduation review is a one-time review of requirements prior to graduation.

It should be requested only when you have nine to 12 hours remaining to complete a specific degree plan, or when you think you are enrolling in your final classes.

To be reviewed, an official evaluation must have been previously completed.

All replies are sent via email. A graduation application should be completed only after results of this preliminary review are received. Questions should be directed to graduation.eval@ctcd.edu .

 

All students must apply for graduation.

Please use the On-Line Application for Degree or Certificate on CTC Student eForms because applying for graduation is the means to obtaining your diploma.

Marching in a ceremony is public recognition of your achievement, but the only way to receive your conferred diploma and transcript is to apply.

Applications must be submitted no later than the deadline date listed below for the graduation you are applying for.

  • October 1 for Graduation Conferral in December
  • February 2 for Graduation Conferral in May
  • June 1 for Graduation Conferral in August
  • There are no fees charged for graduation or receiving your degree.

 

Requirements for Applying

  • All course requirements must be completed prior to certificate/degree award. Requests for certificate/degree received from students who have not completed course requirements by the end of the month for the graduation they have applied (i.e. December 31, May 31, or August 31) will not graduate.
  • The permanent address given on the application must be one through which mail will always reach you. The email address given on the application must be valid and functional.

Frequently Asked Questions about Graduation

 

I think I am ready to graduate. What now?

As the student, it is your responsibility to know when you are ready to graduate. To verify this, we suggest you request a Preliminary Graduation Review when you are 9-12 hours from graduation or when you register for what you believe will be your final class(es).

 

I have verified I am ready to graduate. How do I apply?

Degrees and certificates are conferred three times each year - in December, May and August. It is your responsibility to submit the graduation application by the published deadline to be considered a candidate for a particular graduation conferral. On time mailing dates, as noted by the postmarks, are accepted as meeting the deadlines if you opt to mail in a hard copy application.

 

I am enrolled in my last class. Can I apply?

Yes, you can apply. However, you must complete all course requirements by the end of the month of graduation (e.g., May, August, or December 31). If you are completing coursework at a different institution and require courses be transferred, make sure the official transcript is sent directly to CTC, attention Graduation Department Graduation.Eval@ctcd.edu, at the completion of the course. This document can arrive at any time after the graduation date. If, for any reason, you are unable to complete graduation requirements by the deadline, you will be required to resubmit your application for a subsequent graduation.


I have submitted my application. When will I receive a response?

CTC conducts graduation reviews on or after the respective application submission deadlines. For example, we will not review candidate applications for December graduation before October 1. If you submit your application early, do not expect a response until after the respective final submission deadline for applications. Applications are reviewed in the order received, so it is advisable to apply as soon as you are eligible.
 

What will I receive after I apply?

You will initially receive two forms in the mail. One is the Prospective Graduate Checklist. This is a required form and must be returned. Read each statement carefully and initial in the space provided to indicate that you have a clear understanding of what each statement means. If you have questions, please contact the Graduation office at graduation.info@ctcd.edu directly. The second form is a Marching Request form. This form is required only if you intend to participate in the Central Campus ceremony held at the Bell County Expo Center each May.
 

Once your official review has been completed and it is determined that all degree requirements have been met, your diploma and complimentary official transcript will be mailed to you.  If it is determined that you have not met all graduation requirements, a letter will be issued listing all missing documentation and/or coursework needed. You are responsible for timely submission of missing requirements.

 

I do not want to participate in a ceremony. Can I just get my diploma?

You do not have to take part in the ceremony as the ceremony does not confer graduation. It is public recognition of your achievement, so participation is voluntary. All diplomas and transcripts are mailed out. Only upon receipt of your official CTC transcript are you considered a graduate. Deadline and official graduation dates do not coincide with any specific marching ceremony.
 

I want to march in a ceremony. What can I do?

After you apply for graduation, a Marching Request Form will be mailed to you. If you are interested in participating in the annual Texas ceremony held in May, be sure to return the form marking the appropriate response. You do not need to complete this form to march in the CTC Europe ceremony held at Ramstein in June.  If you do complete the Marching Request Form for the ceremony in Texas, in the spring, you will be sent additional information in reference to the ceremony, rehearsal, caps and gowns, etc. To be eligible to march in the Texas ceremony, you must have graduated in the current academic year. If you wish to participate in a ceremony at a CTC site near you, contact that site directly as they will handle everything related to their ceremony, or contact Graduation@europe.ctcd.edu.

 

When I will receive a Diploma?

Students will receive a Diploma and one (1) official transcript approximately two (2) weeks after the official date of graduation.
